Budget & AI

Budget an AI feature beyond its first API call

An AI budget includes design and ongoing operation. Model calls are only one cost alongside data preparation, integration, evaluation and monitoring.

Define the funded task

Specify a summary, classification or document preparation task with typical input size, steps and approvals. Similar AI buttons can represent very different processing.

Separate initial planning, integration and evaluation from recurring services, infrastructure and support. Compare equivalent responsibilities.

Count every required operation

One journey may need retrieval, several calls and retries. Suppliers use different units and changing prices, so check the chosen service’s current terms.

Calculate tasks multiplied by measured operations and average consumption. Show ordinary and higher-volume scenarios with explicit assumptions.

Budget data preparation and storage

Documents require extraction, cleaning, indexing and updates. Cost also depends on change frequency, formats and access-aware retrieval.

Keep useful operational records with defined limits rather than assuming every conversation should be retained indefinitely.

Include evaluation and human correction

A cheap call can require expensive review. Measure effort to reach an acceptable result rather than counting generated texts alone.

Reference tests, domain review and error analysis require time. Model and document changes can require further evaluation after launch.

Use limits and proportionate architecture

Set per-user, per-task and overall limits with understandable fallback behaviour. Bound retries to prevent uncontrolled consumption after failures.

Measure a pilot before expanding. Custom integration can place cost controls in the business journey and distinguish useful work from repeated experimentation.

Your checklist

  • Define a complete task.
  • Separate build and operation.
  • Measure retrieval, calls and retries.
  • Include evaluation and human time.
  • Set limits and fallback.

Frequently asked questions

Can monthly costs be estimated before a pilot?

Yes, with explicit volume and consumption assumptions. A pilot tests them against representative work.

Is the cheapest model always best?

No. Compare acceptable quality, correction effort, retries and response time to estimate cost per usable result.
